By accessing or using askSOPhia ("the Service"), provided by askSOPhia ("we", "us", or "our"), you agree to be bound by these Terms of Service. If you do not agree to these terms, do not use the Service.
askSOPhia is currently a pre-launch project operated by an individual founder (not yet a registered company). References to "askSOPhia" in these terms refer to this pre-launch operation until a formal entity is established.
askSOPhia is a Standard Operating Procedure (SOP) management platform that helps organizations create, manage, and distribute SOPs using AI-assisted tools. The Service is available at app.asksophia.work and related subdomains.
To use the Service, you must create an account and provide accurate, complete information. You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. You must notify us immediately of any unauthorized use.
During the beta period, access to askSOPhia is granted on an invitation-only basis. Beta access may be revoked at any time at our discretion. Beta features may change, be discontinued, or become generally available without notice.
You acknowledge the Service is an early beta product and may contain bugs, downtime, performance issues, or data-loss risks. No service-level commitments (SLA) are provided during beta.
Paid subscriptions are billed on a per-seat, monthly basis through our payment processor, Paddle (Paddle.com Market Limited). By subscribing, you agree to Paddle's terms of service and privacy policy. Paddle acts as the Merchant of Record for all payments.
Subscription fees are non-refundable except as required by applicable law or as otherwise stated in our refund policy. We reserve the right to change pricing with 30 days' notice to active subscribers.
During this validation beta phase, all subscription charges are generally final and non-refundable, except where refunds are required by applicable law.
Payments are processed by Paddle as Merchant of Record. Refund handling may also be subject to Paddle's policies and applicable consumer protection rules.

The Service, including its design, code, and branding, is owned by askSOPhia and protected by intellectual property laws. Content you create and upload remains yours. By using the Service, you grant us a limited license to store, process, and display your content solely to provide the Service to you.
We collect and process data needed to operate and improve the Service, including account details, workspace/SOP content, operational logs, and billing metadata.

askSOPhia includes AI-assisted functionality. AI-generated content may be inaccurate, incomplete, or out of date and is provided for informational assistance only. You are responsible for reviewing and validating all outputs before relying on them for operational, legal, regulatory, safety, or compliance decisions.
To the maximum extent permitted by law, askSOPhia shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits or revenue, whether incurred directly or indirectly. The Service is provided "as is" and "as available" without warranties of any kind, whether express or implied.
To the maximum extent permitted by law, our total aggregate liability for all claims arising out of or relating to the Service will not exceed the amounts you paid us for the Service during the 12 months before the event giving rise to the claim.
You agree to defend, indemnify, and hold harmless askSOPhia from and against claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising out of your use of the Service, your content, or your violation of these terms or applicable law.
We may suspend or terminate your access to the Service at any time for violation of these terms or for any other reason at our discretion. You may cancel your account at any time. Upon termination, your right to use the Service ceases immediately. We may retain your data for a reasonable period to comply with legal obligations.
We may update these Terms of Service from time to time. We will notify you of material changes via email or through the Service. Continued use of the Service after changes constitutes acceptance of the updated terms.
These Terms shall be governed by and construed in accordance with applicable law. Any disputes arising from these Terms or your use of the Service shall be resolved through good-faith negotiation, and if necessary, through binding arbitration.
